October 28, 2026Card payments through Revolut

When your hotel or lodge goes live, you pick Essential or Complete and add a card or Revolut Pay on Revolut’s secure payment page. The first payment is 7 days later. Staywarden never sees or stores your card details.

  1. October 28, 2026

    Canceling, done properly

Canceling goes through one sheet in Settings › Plan and data › Subscription: what happens and when access ends, a download of all your data, why you are leaving, and the alternatives — switch to Essential if you are on Complete, or talk to us first. Nothing is canceled until you pick a reason.

  2. October 28, 2026

    One shape per meaning

In the panel and on this site, a button looks like a button and a status like a status, and what you have selected — a tab, a filter, the page you are on — is never a filled pill.

  3. October 25, 2026

    Staywarden news by email

At the bottom of every page, when you create your account or in your panel, you can sign up for Staywarden news: from Alexander, at most twice a month, and you unsubscribe with one click.

  4. October 25, 2026

A booking link for each agency

Each agency gets its own link to your lodge: your rooms with photos, live availability at its rate — fixed prices with IVA included too — and it books or holds an option without emailing you. It sees your bank details, and when it asks to cancel, you answer from the email: “Cancel the booking” or “Keep the booking”.

  5. October 25, 2026

    Guides on WhatsApp

A tour booking reaches the guide from your number, with the names and passports for the park permit, and the guide confirms with one tap. On each tour you set what the guide gets per adult and per child, in dollars; Tours › Earnings shows what you keep.

  1. October 25, 2026

The year wheel you can drag

In Prices, drag a season’s ends to change its dates; gaps and holidays are one tap away. Nothing goes out to your channels until you publish.

  2. October 25, 2026

The Warden learns from your corrections

When you correct a draft, the Warden asks “Remember this?”; what you accept stays with your lodge, and you see it in Messages.

  3. October 24, 2026

    WhatsApp, like WhatsApp

From the panel you send photos, PDFs and your location, reply to a specific message, and the guest sees you read it; messages can carry buttons the guest taps. The Warden’s draft comes in the language the guest wrote in.

  4. October 24, 2026

    The price on every night

The calendar shows each night’s price; tap it to see where it comes from.

  5. October 23, 2026

    Every channel Channex offers

Settings › Channels suggests all the channels Channex connects — with their logos — not just Booking.com, Airbnb and Expedia. Where a channel needs us, it says so and you ask us in one tap.

  6. October 23, 2026

    The Warden remembers

Your conversation with the Warden survives closing the sheet, and it knows your lodge — rooms, the practical details, tours and extras — the same way in chat and in reply drafts. Each guest message gets its own draft, and ✨ writes a fresh one.

  7. October 23, 2026

Guests hear from you on WhatsApp and email

Confirmations, changes and cancellations reach the guest on WhatsApp and by email, with the receipt included — and the panel shows which way each message went.

  8. October 23, 2026

    The monthly report

Money › Reports builds a monthly report for your owners or investors from the same numbers as Analytics and Money. You read it, approve it, and it is sent.

  9. October 23, 2026

    Guests & offers

Under Marketing you write your own emails in your own design — logo, colors, a discount code — and send them, now or on a set day, to the guests who said yes. Each campaign shows what was delivered, clicked and booked, and every email has a one-click unsubscribe.

  10. October 23, 2026

    Where each booking came from

Marketing shows which source brought each booking from your website and booking page — Google, Instagram, an ad, a partner link — with revenue per source, the funnel from visit to paid, tracking links and an SEO check.

  11. October 23, 2026

    Costs per cabin

Put each expense in your own category and on the whole place, a cabin or an area like the pool. Money › Costs shows the result and margin of each cabin, and the monthly report can include both.

  12. October 23, 2026

    Refunds you can follow

Each stay shows a refund owed, sent or kept as a cancellation fee. An overpayment becomes a refund owed, with reminders until it is settled.

  13. October 23, 2026

    Only the parts you use

Settings › Features: switch off what your hotel doesn’t use and its tab disappears. Nothing is deleted.

  14. October 23, 2026

Task alerts on the team’s phones

Your team turns on notifications from their own page and hears about new tasks, tasks coming up and tasks not done yet.

  15. October 22, 2026

    Tours, booked by your guests

Put your tours in Staywarden with photos, times and prices. Guests book them from their own page; you confirm or decline, they get a message, and with card payments on they pay the tour by card — never mixed into the stay’s balance. Your commission per tour shows under Earnings.

  16. October 22, 2026

    Tasks that keep up

Subtasks, red-yellow-green priority, drag to reorder tasks and categories, private categories only you see, and a timer on a task.

  17. October 21, 2026

    Free while you set up

The trial is free while you set up your hotel or lodge — at most 30 days — and the 7 days of Complete start once every other line in First steps is green.

  18. October 20, 2026

    Everything updates at once

A change on one screen shows on every other screen within seconds — the calendar, Today, Messages and the phones of your team.

  19. October 20, 2026

    Faster at the desk

Drag across nights in the calendar to change the price, add a booking, an owner stay or a block. Record a cash payment in one tap, see arrival times in Today, open New booking on a free room, and mark all of today’s tasks done at once. Every number in Analytics explains how it was counted, and Analytics now looks ahead too.

  20. October 19, 2026

    Agencies in Staywarden

The Partners tab: a directory of Costa Rica’s inbound agencies, agency bookings with their terms, options that hold a room until a date and free themselves, and a statement per agency per month.

  21. October 15, 2026

    Staywarden in the App Store

The iPhone app is in the App Store: sign in with the same account, and new bookings, cancellations and messages arrive as notifications. On Android, the panel installs from the web.

  22. October 6, 2026

Booking on the website you already have

One line of code puts your booking calendar on your own website — WordPress, Wix, Squarespace, Webflow or one your designer built. Guests pick dates, see live prices, choose a room and pay by card without leaving your page. Links to #book open it; a search bar, a calendar on the page or a Book button are one more line each, and Settings shows where it is running.

  23. October 6, 2026

    Set up on your own

During the free trial your channels open by themselves once your rooms and bookings are in. Your Airbnb or Booking.com calendar links bring your bookings in, your accountant gets a link to connect Hacienda without your password, “See how (1 min)” guides sit next to the hard steps, the Warden greets you with the next one — and when the trial ends, you turn your plan on yourself.

  24. October 5, 2026

    7 days of Complete, free

New hotels and lodges started with the Complete plan for seven days, and everything they set up stayed when the trial ended.

  25. October 5, 2026

    Task boards, your columns

Build each board your way: text, numbers with sums, dropdowns with colors, checkboxes, dates and links. Group and drag by any dropdown.

  26. October 5, 2026

    Where guests come from

The guest’s country — from the channel or the phone number — on every booking, in Messages and in Analytics.

  27. October 4, 2026

    The Warden does the work

Ask in your own words and the Warden does it: reports with the same numbers as Analytics and Money, price changes (base price, seasons, minimum nights, closed dates, lowest price), moving and changing bookings, registering payments, deleting and restoring, tasks for the team, invitations by email and your hotel or lodge settings. Anything that reaches a guest, a channel or your money comes as a card with before → after and waits for your Confirm.

  28. October 4, 2026

Guest replies, ready before you open the chat

When a guest writes on WhatsApp or in the Booking.com or Airbnb chat, the Warden prepares a reply in the background — with real availability and your booking page’s prices. It sits above the box: use it, change it, press Send. ✨ now works in every inbox (Complete).

  29. October 4, 2026

    Setup with the Warden

Every setup step has ready answers you tap for an instant reply, and the Warden builds your hotel or lodge from the files you already have: rooms and prices, your bookings after a dry run, your team and your settings.

  30. October 4, 2026

    Notifications open the booking

Tapping a booking in the bell, on the Dashboard or in a phone notification opens that booking — not just the calendar.

  31. October 4, 2026

    WhatsApp templates in plain words

In a closed WhatsApp window you pick a message by what it does — write to the guest, offer extra nights, ask for a review — and the guest’s details are filled in from the booking.

  32. October 2, 2026

    Task boards

Boards in the Tasks tab: a color per board, statuses, owners (“Me” included), due dates, checklists and notes. Start from General, Maintenance, Shopping list, Guest requests, Staff hours or Project; “My work” gathers what is yours, and the team sees its items on the team page.

  33. October 2, 2026

    Staff hours

A timer per person: they start and stop it from the team page, you can correct it, and every change is logged. Hours per week, half-month or month, possible overtime flagged, pay estimated from an hourly rate (Money access only), and a CSV.

  34. October 2, 2026

    Alerts, your way

Each person picks their alerts: phone, email or panel, right away or once a day at a time they choose, in their own language. Build your own (a quiet week, low occupancy, an unpaid arrival, a task assigned to you), and the Warden reminds you of the VAT deadline and of supplier invoices awaiting a response (Complete).

  35. October 2, 2026

    Analytics and today

Analytics is its own tab: cards and charts you add, remove and reorder, saved per person. The Dashboard opens on the Warden’s briefing and “Today at the lodge”: who is staying where, and tasks you tick off right there.

  36. September 30, 2026

    Channel messages on every plan

Messages and reviews from Booking.com, Airbnb and Expedia are read and answered in Staywarden on every plan — no WhatsApp needed. WhatsApp on your own number, the automatic messages and the Warden’s reply drafts stay in Complete.

  37. September 30, 2026

The team ticks its own work

Staff tick their tasks done on the lodge’s team page, each signed in with their own email, and every tick records who and when. In the panel you see how many are done.

  38. September 2026

    Prices, in one tab

Base price and seasons with “Publish prices”, a year wheel, the lowest price that still holds after each channel’s discounts, price by number of guests, a non-refundable rate, and what each channel shows the guest. Plus the booking window: how far ahead most of your guests book.

  39. September 2026

Stay rules and closed for sale

Minimum and maximum stay, closed to arrival and closed to departure, and nights closed for sale — pushed to the channels along with the prices.

  40. September 2026

    Your own booking page

Guests book on your-lodge.staywarden.com and pay by card into your own Tilopay account; their nights are held for 60 minutes while they pay. Extras — a tour, a transfer, breakfast — are added to the stay.

  41. September 2026

    Hacienda, easier to set up

Hacienda’s Word document fills in the username, password and PIN; your cédula fills in the name and the activity code from Hacienda’s register. The exchange rate is fetched for each day, a whole month can be issued in one go, and “Start invoicing from” leaves older stays to your old system.

  42. September 2026

    Expenses with their receipts

Upload the invoice or the receipt: an XML file is read exactly; a PDF or a photo is read by the AI and marked “check this” when it is unsure. Plus two CSVs for your accountant — income and expenses — with each line’s own exchange rate.

  43. September 2026

    Analytics and channel advice

RevPAR, occupancy and pickup — the bookings made in the last 7 and 30 days — and a few tips per channel, based on your own last twelve months.

  44. September 2026

Messages, one guest at a time

One conversation per guest, with filters; reply templates filled in from the booking; reviews on each channel’s own scale; and a sixth automatic message, the review request to direct guests.

  45. September 2026

    The channels, up close

Airbnb connects through its official sign-in, and you manage its listings from Staywarden. Channel alerts, “Report to Booking.com” for no-shows and invalid cards, and a screen showing what your channels are told.

  46. September 2026

    Essential and Complete

Two plans, priced per cabin. Bringing your data in — “Bring everything you have”: your old system’s export, your price list, your notes — is free, and nothing is saved until you confirm.

  47. September 2026

The team, and who sees what

A manager or your accountant can sign in to the panel with their own email and see only the areas you tick. The team page opens in Spanish and shows today and the next seven days.

  48. September 2026

    Staywarden on your phone

Alerts for new bookings, cancellations, double bookings and channel trouble, as push notifications — and the panel on your home screen like an app, no App Store needed.

  49. September 2026

Settings in groups, and what just happened

Settings opens on a few groups with a search box: type “wifi”, “PIN” or “season” and jump straight to the field. The Dashboard shows what just happened — bookings, payments and channel trouble, newest first.

  50. September 2026

    Deleted bookings, with Restore

A deleted booking stays under Settings › Plan and data for 90 days, and one press brings it back.

  51. September 2026

Migración register and a public API

The guest register for Migración as a CSV, the last 90 days in one click. And API keys that let your own systems read your lodge’s data — and change it only if you allow it.

  52. September 2026

    Block dates by dragging

Drag across the calendar and choose: booking or block. If sold nights fall in between, only the free ones are blocked, and the screen shows which were skipped.

  53. September 2026

    Help center

Nine step-by-step guides, with screenshots of the real panel and the button circled. In Spanish and in English.

  54. September 2026

    First steps

Before you sign up you can read exactly what you will be asked for, and in what order — the Hacienda key included.

  55. September 2026

    Discount codes

Codes with a percentage, a usage cap and an expiry date. The server does the arithmetic, and a use is only counted once the payment is approved.

  56. August 2026

    WhatsApp on your own number

The lodge connects the number it already has. It keeps ringing on the team’s phone — and the guest threads appear in the panel too, with six months of history.

  57. August 2026

    Channels connected

Booking.com and Airbnb through a certified channel partner: availability and rates are pushed automatically, and a new booking arrives with its cleaning already scheduled.

  58. August 2026

    Daylight theme

Daylight as the default: panel and site on the same light canvas, with dark mode as an option.

  59. August 2026

    Public status page

What this server can verify about itself, in public — including database latency, measured live.
